Working with language training schools as an international agent, the Archiz team gets to communicate with the school’s founders, managers, and administration staff. Recently we were helping one of our schools adopt the Education CRM .After research, meetings and discussions we came to know that the language learning industry is missing a reliable CRM Software for Study consultants.This article is a summary of what happened during the past few months and what we are going to do in the future so that this gap can be bridged.

Helping one of our customers choose a solid software for administration and manage international payments, we were surprised by the number of options to choose from after a quick search for Education CRM Software. We would have to filter the features we needed to narrow down to a more manageable list.

A calendar view of CRM, online payments and student arrivals should be our list of features. Next step we dismissed those who looked older and older as per the images on their website. The rest of the list came to a handful. Now that’s a good list to evaluate, isn’t it?

We sorted them by price and to surprise you, we started with more expensive ones. Signed up on each one and tried to spend some time looking at how they work. We dedicated a few hours to each software to see if they met our requirements. We tried to sort them by quality, intensity of user experience, and last but not least, frequency of updates.

We were surprised by the results of this study. We did not find any software that meets the minimum criteria for the school working with us. Navigation through the facilities was not fluid in any of them. This wasted some of our time because it took longer than that anticipated time to find and test our facilities. The titles chosen for each feature, form, and report were not explanatory enough.Trying on each feature, it became clear to us that the software was built for a school and turned into a product. The terminology, marketing, sales and finance of best practices and schools were not present. For example, the impression of CRM (Customer Relationship Management), an important feature, was extremely insignificant. At its best, a list of students is called CRM and that is as far as it goes.

Choosing existing products from the market is far from the table.

What is the solution ?

The school where we are trying to find software for us is a good idea to hire a developer to build it for us. Actually we get this question again and again. Hiring a developer does not mean that you can build software from scratch. It takes a team, experienced and reliable. It also takes forever to deliver the first usable version created by a software developer.

Lastly, is this software well designed based on the needs of the business? All software developers can be product owners, scrum masters, business analysts, testers and training and support specialists. Scalability, security, and performance are some other concerns that you should understand with the same developer. This is all until the software developer gets a better job elsewhere.

Outsourcing the project to a custom software development company is another route. This is a measure that not all schools can actually do. The total cost of ownership of homemade software is high. Any good software has a never ending lifecycle. After being created by that software (possibly offshore) company, your admin staff, teachers, and students start using it.

Feedback should be reflected in the next versions of the software. A continuous construction, measurement, and learning cycle goes on forever. Technologies change faster than ever and this means that it is adaptable to replace your software with them as well. In the end you will feel that you are paying a fortune for school administration software or you are stuck with an old software.
